VE103B Request

As per your signed contract, you will not have permission to take your short-term car lease abroad until express permission has been given by either Cocoon Vehicles Ltd, The Suppliers and/or the funders of the vehicle.

Before taking your short-term car lease vehicle, car subscription or flexible car lease abroad, you will require a VE103B On-Hire Certificate. This shows that the vehicle is on hire or on a lease to yourself. Without this your car could be impounded or stopped by officials.

We would ask that you give us 21 days notice to arrange the authority and the paperwork required to take your car abroad. It is also important to understand that the vehicle cannot be out of the UK for anymore than 28 days and no more than 90 days in a 12 month period.

Before Leaving the Country

You will need to complete the form below and pay the nominal fee as per the Advice of Charges for a VE103B On-Hire Certificate. All VE103B requests are accepted on a case-by-case basis and it is not an automatic right of your contract to take your vehicle abroad.

It is also important that you understand that a VE103B certificate will also be required if you are taking your vehicle to the Channel Islands (Jersey, Guernsey, Etc) and Ireland. Should your request for a VE103B be accepted, you will also have to send proof of fully comprehensive insurance whilst your vehicle is abroad, a green card with third party cover will not be accepted. European Breakdown assistance will also be required.

Important Information Before Your Trip

Wherever your destination we want to make sure you enjoy your trip abroad and are not caught up in red tape. This form allows you to place an order for a Foreign Travel Abroad Document (VE103) and also provides travel advice ensuring you are prepared and have the necessary documentation. As you progress through this application you will be asked to confirm you understand your responsibilities and have the necessary travel documentation to support your trip.

VE103 (Vehicle on Hire Certificate) Guidance

  • Your original VE103 certificate and letter of authority must always be with you whilst driving the vehicle abroad
  • You will be sent a PDF copy of your VE103 certificate. This copy is for information purposes only, it cannot be used in place of the original certificate
  • The VE103 certificate is valid for the main driver and any other named driver/s whilst accompanied by the main driver
  • If another individual drives the vehicle without the main driver present, they require their own individual certificate
  • The name and address listed on the VE103 certifcate must match the name and address on the main drivers driving licence
  • The VE103 Certificate is valid for the dates shown only, the driver cannot take the vehicle out of the United KIngdom for anymore than 28 days. If they need to extend this, they will need to discuss this with their Account Manager.

Important Information Before Your Trip

With the UK having left the EU, legalisation has changed meaning there are additional requirements to travel abroad. In addition to the VE103 certificate UK drivers may require the following items when driving in Europe

An International Driving Permit (IDP)

You do not need an IDP to drive in the EU, Switzerland, Norway, Iceland or Liechtenstein if you have a photocard driving licence issued in the UK.

You might need an IDP to drive in some EU countries and Norway if you have either:

  • A paper driving licence
  • A licence issued in Gibraltar, Guernsey, Jersey or the Isle of Man

You can obtain a permit in person over the counter at your local Post Office branch

A Green Card
  • A Green card is no longer a requirement to drive in the EU however may be a requirement in other countries
  • A Green card is proof you have third party liability insurance cover whilst driving in certain countries
  • You will need to request the Green card from your vehicle insurance provider
  • Insurance providers recommend you request your Green card a minimum of 4 weeks prior to travel.

GB Stickers
  • UK Stickers are displayed on your vehicle, even if your number plate currently displays the GB Symbol.

Towing

  • There are new rules applied when towing (trailers, caravans etc) please ensure you familiarise yourself with these rules prior to travel
